3rd Shot Rewards privacy notice

Scope and information we use

This notice covers 3rd Shot Rewards, operated by 3rd Shot Pickleball Reno. CourtReserve, the public website and StaffOS are separate services and may have separate privacy notices.

We use your name, email, phone number when provided, Reno member identifier and verification status, account status, acceptance of program terms, points balances, qualifying purchase records, corrections, redemption codes and fulfillment history. We also process sign-in, access and security records, such as request times and technical information needed to prevent misuse.

Information comes from you, authorized club staff, our member records and CourtReserve payment notifications associated with qualifying purchases. Notification processing may temporarily read a receipt's transaction reference, recipient, item descriptions, amounts, date and masked payment-method details. Rewards does not ask for your CourtReserve password, full payment-card number or card security code. Email earning uses deterministic parsing rather than generative AI.

Why we use it and who receives it

We use this information to verify the correct account, provide sign-in, calculate and reconcile points, prevent duplicate awards, process redemptions, resolve disputes and protect the service. Authorized club staff have access according to their role. Administrative exports contain personal information and are restricted to the owner.

Service providers process the information needed for hosting and delivery: Vercel hosts the application, Neon stores the database, Resend delivers sign-in email, and Google/Gmail/Apps Script carries and processes the club's notification mail and forwarder. We may disclose information when legally required or reasonably necessary to investigate misuse or protect rights and safety. If the business is transferred, relevant program records may transfer with it subject to this notice and applicable law.

We do not sell Rewards personal information or use it for targeted advertising. Rewards does not include third-party advertising pixels or cross-site behavioral tracking. Providers may process technical information needed to deliver and secure their services. This statement concerns Rewards and does not describe your separate use of another provider's website.

Cookies, storage and message handling

Rewards uses an essential session cookie for sign-in and browser session storage to safely retry an award, redemption or correction without duplicating it. These controls are required for those functions. Signing out ends your Rewards session.

The earning database stores the receipt identifiers, cryptographic digests, processing results and transaction details needed to prevent duplicates and reconcile points. It does not keep a separate archive of complete receipt bodies. Original emails remain in the club's Gmail under the club's mailbox practices. Application errors and operational logs are designed to omit message bodies, member names, addresses, sign-in codes and secret keys.

Retention and your choices

We keep account information while needed to operate your account. We keep transaction and correction history, receipt-deduplication records and necessary security records for as long as reasonably needed to maintain accurate balances, resolve disputes, prevent repeated credits and meet legal or accounting obligations. Backups may retain earlier copies during their recovery lifecycle. We review deletion requests rather than promising that immutable financial history can be immediately erased. Where legally and operationally appropriate, identifying account information may be removed or separated from retained transaction records.

Participation does not enroll you in marketing. You can ask to review or correct your Rewards information, close your account, request deletion, or direct us not to sell your covered information by emailing reno@3rdshotpickleball.com or visiting the front desk. We verify that the request concerns your account before acting. Do not email a password or sign-in code. We respond to verified Nevada sale-opt-out requests within 60 days; if a permitted extension is necessary, we notify you and extend by no more than 30 days. Other requests are handled under applicable law and the record-retention needs described here.

Rewards is for adults 18 or older. It is not intended for children's accounts. Contact us if a child has been enrolled so we can review and resolve the record.

Changes and contact
